FinThrive CDM Migration Info-Session and Q&A
Recorded September 27, 2024

Key Topics Discussed

Export Functionality
Questions arose regarding the export from CDM Master that sends adds and updates back to the PAS. The export will not be lost during the transition, but it will require recreation and retesting in the new application. The implementation timeline may be affected by this process, which varies based on customer requirements.

Implementation Timeline Factors
The transition could take three to six months depending on various factors, including whether the customer has exports to recreate and configure workflows in the new tool. Existing customers who are already submitting data will find that process continues similarly, while new setups may take additional time.

Knowledge Source Access
Questions were raised about accessing all tabs in Knowledge Source. It was clarified that the migration will not impact Knowledge Source access. If issues arise, users should open a support case for assistance.

Training and Support
Training will be provided as part of the implementation, including live sessions before going live, online help tools, and in-app guidance. Users can expect a variety of training resources to support their transition.

Custom Reports
Users will have the ability to create custom reports in the new application. Any information displayed on the screen can be exported into a file format, enabling ad hoc reporting.

Application Layout
The new application will feature a different layout and user interface compared to the current version, with improvements aimed at enhancing user experience and intuitiveness.

Workflow Module Availability
The integrated workflow module will be available to all users in the new application, regardless of whether they had access previously.

Data Submission Notifications
Customers will be informed about the need to submit new data during the scheduling of their implementation. Not all customers will need to submit data, as this will be determined individually.

Account Access
There are expiration timelines for login access; passwords can expire over time. This policy applies to both the current and new solutions.

Next Steps

Attendees were encouraged to reach out with any further questions or concerns as they arise.

FinThrive CDM Migration Info-Session and Q&A
Recorded November 12, 2024

Detailed Q&A Highlights

For our hospital system, we use CDM Master and a request ticket system. Will the workflow component be replaced in the new platform?
Yes, the workflow component similar to the current request ticket system is built into the new platform.

Will we have to recreate all the routes and stages in the new application?
Yes, the routes and stages will need to be recreated in the new application.

Will there be training on how to do this for each facility or group?
Yes, training will be provided in various formats, including large group sessions, individual sessions for workflow users and administrator training. Built-in tools and online resources will also be available.

My facility manages our CDM in Epic and does not use FinThrive’s native CDM. Does this migration apply to us?
If your facility has an active contract for CDM Manager or CDM Master, this migration impacts you, regardless of usage.

What is the difference between CDM Manager, CDM Master and CDM Management?
They are different FinThrive solutions, but both CDM Manager and CDM Master will be replaced by the new CDM Management platform.

Will a PowerPoint presentation with the information shared in the session be available?
Key information and FAQs are available on this landing page.

How does this update affect us if we use CDM Manager but it’s not linked to a patient accounting system?
The process remains the same. The file from the patient accounting system, such as Sorian, is loaded into the new CDM Management application and analyzed as it is today.

How many more CDM Management sessions will there be?
This is the first group demo. There have been five previous info sessions. Additional group demos will be scheduled based on attendance and demand.

Will historical audit functionality still be available for nurse auditors to view past pricing and corrections?
Yes, the audit history will include old and new information with the date of changes. This functionality will be available in the new system.

Will the report pull chargemaster data from the current or prior month?
The process will follow the same frequency as today, which is typically monthly file submissions.

How will cost-to-charge functionality be affected? Can we see more than 200 lines, and can we export data?
Cost-to-charge is not directly impacted by the migration, but additional cost-to-charge functionality will be provided. Users can view up to 200 lines at a time and export all data, even beyond 200 lines.

If our import file has different columns, will we be able to view and filter custom columns? Will future sessions cover uploading extracts?
The application can consume and display all data included in the file. Future sessions may not focus on uploading extracts due to the large audience size.

Is there a common extract for Epic users that is used by all to upload the CDM?
Yes, there is a common extract from Epic that FinThrive consumes and loads into the application. However, the extract itself is generated by Epic, not FinThrive. Additional CDM data elements can be added if needed.

Will there be the ability to see expected reimbursement by payer besides Medicare, including commercial payer reimbursement, and identify CDMs that are denied?
This functionality is part of FinThrive’s contract management solution, not CDM Management.

Do you have a Meditech Expanse export file or work with Meditech?
Yes, FinThrive can consume Meditech data files for CDM Management. Existing customers will continue with the current process, while new customers will require setup to load data into the application.

Can contract details be included along with listed companies?
Contract details are managed in FinThrive’s contract management solution, not in CDM Management.

Will historical data from CDM Master flow into CDM Management?
No, historical data will not flow into the new application. However, audit history can be provided as a file for reference.

Will new routes and stages need to be built in CDM Management? Will training be provided?
Yes, new routes and stages will need to be built, and training will be provided.

Will the ability to copy items for a new build across facilities remain in the new application?
This depends on the CDM type. For static, location-based CDMs, copying is supported. For EHR-based CDMs (e.g., Epic, Meditech), shared configurations make this unnecessary.

Can reports be consolidated across all sites?
Reports can include cost center-level details, allowing site-specific data to be extracted and consolidated if necessary.

Will users be able to submit tasks, and can you demonstrate this?
Yes, the new product includes a workflow component for task submission, and training will be provided.

What logic is used to suggest replacement CPT/HCPCS codes?
The system uses source content from CMS, AMA and FinThrive’s proprietary recommendations.

Is the download center part of Knowledge Source or CDM Manager?
It is part of Knowledge Source.

Does this impact CDM Analyzer?
Yes, CDM Analyzer is part of the CDM Manager platform and will be impacted.

Will issues with balloon catheters being incorrectly categorized as implants be fixed with the upgrade?
Such issues can be submitted to the content team via the portal for review and correction if necessary.

Will reconciliation functionality go away, and will there be changes to enterprise functionality?
Reconciliation in the new application is automatic and uses incoming files as the source of truth, incorporating logic to handle changes intelligently.

Click here to access the Epic data specs.

What is the cost to migrate?
Nothing. It is a free upgrade. The migration fee will be waived, and the subscription fee will not increase.

Any add-ons (e.g., additional users, additional covered entities, or additional professional CDMs) to the current contract can be included for a fee.

Will we have to sign a new contract?
No. FinThrive will only require an amended SOW on the next renewal date that includes CDM Management language.

How long will it take to implement and how much effort is needed from us?
Customer time and effort will vary depending on several factors, but the transition could take 3-6 months depending on whether additional data is needed and when it is received. A FinThrive Project Manager will contact you to discuss your specific transition schedule and level of effort.

What if we are not able to migrate during the designated period?
FinThrive will make every effort within reason to accommodate customer specific scheduling needs throughout the upgrade period. However, to ensure all customers receive our latest, most secure technology in a timely manner, we will need to follow the plan to complete all transitions by 12/31/26.

Will we have access to our current system/historical data after the transition?
Yes, temporarily. A designated Admin User will have read-only access to their current system for 90 days after the migration is complete and you are live on the new solution. In addition, the Change History report can be generated and saved locally for historical time periods.

Will our access to Knowledge Source be impacted by this upgrade?
No. Users will continue to have access to Knowledge Source as before, using the current login page and username/password.

Users will be provided with a new URL to access CDM Management with a new username and password.

We have an export from CDM Master that sends adds and updates back to our PAS. Will we lose that with the transition?
No. We will work with customers that have an export to implement a new export from CDM Management.

We currently use Request Master in CDM Master (or Request Manager in CDM Manager). Will that functionality be available in CDM Management?
Yes, during the transition phase, we will train customers on the new Workflow module and assist in getting it set up.

What if we are planning a PAS conversion during the transition period?
Our team will work with you on the best time during this transition period to set up your organization.

Can we create our own custom reports?
Yes, the system provides multiple ways to search and filter data, as well as hide and rearrange columns. Any filtered data set can be downloaded as an ad hoc report.

Will additional training be provided?
Yes, training on CDM Management will be done during each organization’s transition period. We will also be adding WalkMe to assist with ongoing training that will be available 24X7.

Will this upgrade affect any other products?
No. No other products are impacted by this upgrade.

Is the new system embedded / integrated with the EHR or will it be a stand-alone application like we have today?
No change. CDM Management is a stand-alone application with a file-based data exchange.

Can I download my Excel spreadsheets?
Yes, you can do that in the new solution.

Will we get the same reporting as we do in CDM Manager today?
Yes, we will have a comprehensive set of reports around coding, compliance, and pricing.

If I use this as a stand-alone solution, when will my conversion take place?
This will vary depending on your PAS, but we will be setting up times for all customers in the upcoming months to ensure we get it on your calendar with as much advanced notice as possible.

When will Cerner / Oracle community be scheduled for conversion?
We will schedule conversions by customer later this year with the plan to begin transition late 2025 going through 2026.

When can we demo the new product?
You can see the demo on the landing page and/or set up a full demo through your Customer Success Manager.

Is the overall layout / format going to be the same?
No, we took this opportunity to create a more modern, user-friendly interface.

How much effort will be required to convert?
This will vary depending on the ability to reuse your CDM data or not.

Can we get the Workflow module if we do not have it today?
Yes, during the transition phase, we will train customers on the new Workflow module and assist in getting it set up for anyone interested.

Will the new product date stamp newly created items?
Yes.

Can you expand on the enhanced security that will be included?
Microsoft invests over a billion dollars annually into cybersecurity, including the Azure platform that CDM Management is built on which allows FinThrive to allocate resources towards developing innovative solutions and other business-critical initiatives. For physical security, Azure has hundreds of datacenters in 50 regions, and these have extensive multi-layered protections to ensure unauthorized users cannot gain physical access to your customer data.

The computing infrastructure for Azure is built on customized hardware with security controls integrated into the hardware and firmware components including secret management and increasingly hardware-based enclave technology.

The extensive network infrastructure has built-in protections against DDoS to safeguard your resources against volumetric or protocol layer attacks. Azure DDoS Protection has the operational capacity to scale protection to the largest of workloads.

Security is an ever-evolving state and Microsoft manages the basics such as ensuring the servers that run Azure are patched. They actively work to identify vulnerabilities through continuous testing and monitoring and run exercises such as red team versus blue team cyber penetration testing.

One of the reasons FinThrive chose Azure is the secure foundation it provides which enables us to put more of our resources towards delivering core value.

When will we know if we need to send new data?
We will discuss whether or not you need to send new data during our first call scheduled with our project manager. All Epic and CDM Manager customers will need to send new data. CDM Master customers that have any other PAS will likely not need to send new data.

Is there an online walk through of the new system available now?
Yes, there is a high level demo available on the landing page to give you the look and feel of the new solution. A full demo can be provided as your transition is scheduled.

We are ready to stand by your side through this migration. Schedule a conversation with your customer service representative if you have a question or open a case on the Community Portal
